Job Title: Office Administrator
Reports To: Pastor and Staff-Parish Relations Committee (SPRC)
Status: Part-Time
Location: United Methodist Church of Westport & Weston, Westport, CT

Position Summary:
The Office Administrator ensures the smooth operation of the church office, supporting the pastor, staff, and congregation through proactive communication, timely record-keeping, and excellence driving administrative coordination throughout the church operations.
Key Responsibilities:
Administrative Support
- Manage daily office functions; serve as first point of contact.
- Provide administrative assistance to the pastor and ministry teams.
- Prepare weekly bulletins, worship materials, announcements, and special service programs.
- Maintain the church calendar and coordinate building use.
- Assist with seasonal mailings and event preparation.
Communication
- Relay pastoral care needs promptly.
- Manage phone, email, website, social media, and printed communications.
- Support proactively event logistics and communication tools (e.g., RSVP forms, permits, banners).
- Prepare various reports for church meetings, conferences.
Records Management
- Assist with membership and attendance records.
- Generate member directory and synchronize mailing lists.
- Prepare reports and ensure compliance with record-keeping standards.
- Communicate with and maintain records for our facility rentals including scheduling and confirming payment.
Financial Coordination
- Forward payables to Treasurer/Bookkeeper.
- Track rental agreements, COIs, and payments.
Facility Oversight
- Liaise with Trustees on maintenance, rentals, and scheduling.
- Manage office supplies and equipment servicing.
Qualifications:
Education & Experience
- High school diploma required; degree in business/communications preferred.
- 3+ years of office or administrative experience; church/nonprofit background preferred.
Technical Skills
- Proficiency in Microsoft Office; familiarity with Google Workspace.
- Experience with church management software (e.g., Breeze), Canva, and website/social media tools. Basic graphic design skills (e.g., Canva, Adobe Express).
- Experience with church management software (e.g., Breeze, Realm, Church Windows) preferred.
- Proficient in managing website content and basic forms design (Wordpress). And with community engagement and calendar tools (Constant Contact, SurveyMonkey, SignUpGenius, MyChurchEvents, etc).
- Proficiency leveraging social media platforms.

Schedule & Compensation:
- September–June: 25 hrs/week, Mon–Fri, 9:30 am–2:30 pm
