Administrative Assistant - Office Coordinator

We are Wholesale Bakery largely recognized in South Florida, for our freshly baked Italian bread. All products are made on-site and from scratch.
We are looking for an experienced administrative assistant that will bring enthusiasm and professionalism to an already committed, dynamic and talented team
Position Responsibilities
Order Processing:
- Responsible to understand how to correctly navigate through FlexiBake (Operating Software) to update customer information, create new accounts, generate/print route documents, update recipes, process orders.
- Responsible for processing orders daily. Responsibilities include making sure that the order is accurate before transmitting it to production, making sure all customers or clients have their daily orders submitted by cut-off time.
Day to Day customer service:
- Answering office calls and directing callers to the correct point of contact.
- Assisting customers with any urgent needs or emergency orders (Always do right by the customer)
- Review, Process and Reply to order emails
- Call all clients on the call log to process orders
- Print/Email all packaging documents accordingly.
New Account Set-Up:
- Manage wholesale email to open new accounts
- Verify we have all info necessary to open a new account
- Send out internal new account email
Office Management:
- Maintain office cleanliness to an appropriate level.
- Maintain workspace organized and presentable.
- Perform any additional duties as assigned by company/management
Requirements:
- Must speak fluent English/Spanish
- Must have experience in administrative duties (AR/AP)
- Experience in MS Office
Schedule:
- Monday through Friday 8am-5:30pm (occasionally Sundays)
