Job Description

The Chapter Manager is the responsible for the operations of the chapter, overseeing all governance and board support by scheduling meetings, drafting minutes, and ensuring bylaws compliance. They manage the full membership lifecycle—from application and screening to renewals—while maintaining accurate data and driving member engagement. Additionally, they handle financial administration, including dues collection, budgeting, and compliance controls, coordinate event logistics and communications, and develop and report on key chapter health metrics to the board.

Job Type - 1099 Contractor Part Time

1. Governance & Board Support

  • Weekly Administration: Schedule and coordinate the weekly Presidents operations meeting. Prepare meeting agenda and distribute other chapter items as required for the meeting.
  • Meeting Administration: Schedule and coordinate all board and committee meetings, prepare and distribute agendas, ensure quorum and proper notice as defined in chapter bylaws.
  • Minutes & Records: Accurately record, distribute, and archive meeting minutes; maintain digital and physical records of all official chapter actions and resolutions .
  • Bylaws Compliance: Monitor and track bylaws ratification cycles; prepare amendments for board approval and liaise with EO Global Governance for review and filing .

2. Membership Administration

  • Onboarding & Renewal: Process new member applications, coordinate screening interviews, manage grace-period notifications and annual requalification before June 30.
  • Database Management: Maintain up-to-date membership database, track member statuses (active, grace, alumni), and generate cohort reports for the Membership Chair’s review .
  • Member Engagement: Liaise with forum chairs to enforce “good standing” rules, support ghost-forum resolution protocols, and facilitate member communications .

3. Financial Administration

  • Dues & Budgeting: Collect local and global dues, maintain accurate ledgers, prepare monthly financial statements, and report issues to the Finance Chair .
  • Expense Management: Process reimbursements, vendor payments, and maintain reserve fund compliance per Policies & Procedures .
  • Audit & Compliance: Coordinate annual audit/auditor selection, ensure Directors & Officers insurance is current, and file necessary regulatory documents .

4. Events & Communications

  • Event Coordination: Partner with the Events Committee to plan and execute education sessions, networking events, and the Annual General Meeting, handling logistics, contracts, and vendor relationships.
  • Communications: Draft and disseminate chapter newsletters, maintain chapter website, event registration pages and social media updates, and serve as primary contact for member inquiries and global/regional communications.

EOSV Annual Events will include:

· 10 half-day learning events (onsite)

· 6 one hour SAP webinars (via Zoom)

· 8 social events (to be chaired onsite by board appointed day-chairs)

· Chapter Retreat

· Board Summit

· Christmas Party

5. Liaison & Reporting

  • Global & Regional Interface: Act as the primary operational contact for EO Global Governance and Membership Directors, ensuring timely submission of PEAK check requests, area council updates, and compliance reports .
  • Metrics & KPIs: Develop and monitor key chapter health metrics (e.g., membership growth, event attendance, financial reserve levels), report monthly to the board, and recommend corrective actions as needed.

Qualifications & Competencies

  • Bachelor’s degree or equivalent; 3+ years in non-profit or association management
  • Familiarity with EO Global Bylaws, Policies & Procedures preferred
  • Exceptional organizational, communication, and stakeholder-management skills
  • Proficiency with CRMs, financial software, and virtual meeting platforms
  • High attention to detail, proactive problem-solver, and metrics-driven mindset

Job Types: Part-time, Contract

Pay: $40,000.00 per year
