JOB DESCRIPTION

ACCOUNTS PAYABLE SPECIALIST

Under the supervision of the finance supervisor, the accounts payable specialist shall be responsible to:

  1. Check, verify, process, and input all general accounts payable invoices and import child care provider payments into the accounting system in a timely manner and in accordance with the payment schedule for each account.
  1. Check and verify general accounts payable and child care provider contracts for completeness. Process payments in accord with contract terms and follow up with pertinent parties regarding any contracting issues as needed.
  1. Assist with 1099 and EDD reporting process. Process 1099 requests as necessary and document correspondence regarding vendor requests.
  1. Assist the finance supervisor with the preparation of various financial and funding source reports as directed.
  1. Sort, code, batch, and file a variety of documents and maintain fiscal records as directed.
  1. Enter end-of-the-month fiscal data into spreadsheets and/or database programs to generate a variety of weekly, monthly and annual reports as requested.
  1. Assist with preparation of audit schedules as assigned.
  1. Verify and input travel and other employee reimbursements.
  1. Set up and maintain electronic accounts payable vendor files and payment support documentation files.
  1. Complete payment research and account reconciliations as necessary. Process, maintain and reconcile agency petty cash funds.
  2. Other duties as assigned.


EMPLOYMENT STANDARDS

Required Education and Experience:

  • Minimum high school graduate or equivalent.
  • Minimum two years’ recent experience in a double entry accounting position or closely related.
  • Two years of college coursework in accounting or the successful completion of a training program in this area may substitute for one year of the required experience.

Knowledge and Abilities: Ability to operate a ten-key calculator by touch. Requires knowledge of Windows environment, including Excel and Word. Knowledge of general accounting systems. General knowledge of standard office equipment, procedures, and filing. Ability to work with minimum supervision. Ability to follow written and verbal instruction without difficulty. Ability to effectively communicate orally and in writing. Ability to maintain good working relationships with other staff, clients, and the general public. Ability to pay close attention to detail.

Physical Abilities: Ability to effectively use hands and fingers in the use of computer keyboard, filing documents, and use of other office machines. Ability to clearly see detailed financial documents and reports.

License or Other Requirements: Must submit to a job-related, agency-paid, pre-employment physical examination. Employment is conditional pending satisfactory results of physical examination
