Job Title: Move In Move Out Coordinator

Reports To: Director of Environmental Services

FLSA Status: Non-Exempt

Department: Sales

Duties and Responsibilities include the following. Other duties may be assigned.

Key Responsibilities

✨ Resident Experience & Family Communication

  • Champion each resident’s first impression by facilitating a warm, thoughtful move-in experience.
  • Serve as the primary liaison with families, scheduling movers, communicating timelines, and arranging personalized touches to help new residents feel instantly at home.
  • Assist new residents in navigating their surroundings, connecting with neighbors, and fostering a sense of belonging from day one.

????️ Unit Turn & Facility Coordination

  • Oversee all aspects of unit turnover, from entering work orders in TELS to coordinating with internal maintenance and trusted external vendors to ensure rooms are move-in ready.
  • Maintain real-time accuracy of room readiness in both the TELS system and the Move-In Move-Out tracker.
  • Upon move-out, promptly enter all unit turn data into TELS and notify the BOM to ensure appropriate final charges.

????️ Move-In Support & Hospitality Services

  • Execute punch list items to create a welcoming atmosphere—arrange furniture, hang art, assist with unpacking, and make every detail feel intentional and inviting.
  • Coordinate maintenance tasks tailored to each resident’s needs during the move-in process, ensuring comfort and safety.

???? Front Desk Team Supervision

  • Lead and supervise front desk personnel to ensure consistent, warm, and professional coverage in alignment with The Argyle’s hospitality standards.
  • Create and maintain front desk staff schedules, ensuring appropriate coverage during all hours of operation.
  • Act as a mentor and point of contact for front desk staff, providing guidance that supports our mission of kindness and excellence in every interaction.

???? Organizational Excellence & Team Support

  • Attend all department meetings and required in-services to ensure communication and collaboration across teams.
  • Assist with lifting and transporting equipment and supplies as needed.
  • Take initiative to complete any other reasonable tasks assigned by supervisors to uphold The Argyle’s high standards.

???? On-Call Support & Incident Reporting

  • Be part of the on-call rotation to address facility emergencies with care and responsiveness.
  • Maintain confidentiality and uphold safety protocols, reporting any incidents or accidents without delay.

Schedule Requirements

  • Flexibility to work evenings, weekends, and holidays as needed to accommodate the rhythms of residents and families.
  • Availability to respond to on-call duties with reliability and compassion.

Qualifications:

Strong interpersonal and communication skills, with the ability to engage empathetically with residents, families, staff, and vendors. Demonstrated leadership capability, particularly in supervising teams and coordinating schedules. Proficiency in computer applications, including Microsoft Word, Excel, Outlook, and other relevant software systems.

Education/Experience:

One year related experience or training; or equivalent combination of education and experience preferred.

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


Special Skills:

Ability to read, write, and speak in an understandable manner and understand the English language

Possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public

Works as a team player with a positive attitude and is able to work with all co-workers

Functions independently and has flexibility, personal integrity, and ability to work effectively with the residents/personnel

Enjoys working with and around older adults
