Overview:

Organizing, coordinating, and monitoring all non-clinical front office operations of the program under the direction of the Team Leader. Managing medical records; operating and coordinating the management information system; and providing receptionist activities, including taking calls and coordinating communication between the team and persons served.

ESSENTIAL/CORE JOB-SPECIFIC DUTIES AND RESPONSIBILITIES

  • Serves as receptionist, answering, screening, and routing calls for program staff as well as greeting clients at the FACT headquarters. Consults with supervisor regarding communications received and relays messages as necessary to assigned staff. Must conduct themselves in a manner which will reflect favorably and professionally upon the Center and employees. When receiving calls, the Staff Assistant will contact the appropriate staff in order to respond to client’s questions and concerns in a timely manner. All customers are to be treated with courtesy, respect and dignity and are served in the most caring, welcoming and professional manner possible.
  • Schedule client appointments in Avatar. Complete appointment reminders via telephone within 48 hours of scheduled appointments. Responsible to maintain client’s up to date contact and insurance information for the team. Print hospital census daily and post on staff bulletin board. Maintain required postings at the consumer bulletin board.

3 Conducts client financial assessments and performs administrative intakes gathering data for financial eligibility, insurance verification (i.e. run Medicaid portal, obtaining insurance card for scanning to Avatar, etc) in working with the Financial Service Department. Prepares deposits, maintains petty cash, and makes routes to accounting. Responsible to be the one to communicate with the Financial Service Department any changes in clients insurance status.

4. All the necessary paper document needs to be scanned into Avatar based on the Scanning Document Guideline within 48 hours of receipt by titling those accurately to facilitate the easy access. Responsible to check the HIE system daily to distribute received fax to the appropriate staff.

5. Assist supervisor in collecting and tracking necessary data such as referrals, admissions, and discharges information for required reports. Type letters, memos, and reports when requested. Sort, route and prioritize incoming mail/fax, with distribution to appropriate staff.

Education/Experience:

  • High School diploma or equivalent
  • 2 years of secretarial or office clerical experience.
  • Must possess a typing score of at least 55 CWPM.

Licensure or Certification:

  • Valid Florida driver’s license
