Essential Job Functions

As a concierge practice, LSR Wellness is keenly focused on dedicated patient care throughout all aspects of the patients’ experiences with the practice.   Important elements of the Front Office Assistant include:

  • Patient visit management prior, during, and after each encounter to ensure patient satisfaction and process fulfillment.  Document all follow-up actions.
  • Maintaining communication with patient membership.
  • Management of the Practice’s internal and patient communication software to ensure timely responses to patients and doctor awareness of incoming patient requests and needs.

Specific functions include:

Schedule appointments for new or established patients

  • Obtain patient prior-authorizations and pre-certifications
  • Work with the Membership Coordinator to ensure receipt of new patient records
  • Greet Patients as they arrive to the office and assist them with the registration process
  • Verify Patient Insurance Information to ensure accurate billing and coverage.
  • Maintain Records: Responsible for maintaining patient records, insurance files, and billing records.
  • Working with Billing Support and Membership Coordinator: Collaborating with the billing team, and the Membership Coordinator in support of patient onboarding.
  • Staff Training and Patient Education: Regularly participating in staff training programs to enhance healthcare knowledge and improve patient interactions.
  • Manages digital documentation for the practice including incoming patient-related faxed records, HIPAA-governed patient waivers and approvals, and patient membership agreements.
  • Inventory management: tracks the practice supply levels and reorders as necessary for both clinical and front-office materials.
  • Provides record keeping and performs clerical and other tasks for the office.

 Qualifications, Required Skills, and Experience

  • Prior experience in clinical healthcare practice or similar setting (required).
  • Associate of Arts or Science or Bachelor of Arts or Science (desirable).
  • Enjoys teamwork in a small practice setting.  Willing to embrace all needed tasks and seek out better ways of improving the patient experience.
  • Competent in Microsoft Office and other office productivity applications; generally computer competent.
  • Experience utilizing EHR software (ideally Athena Health, eClinicalWorks, or similar primary care focused tool) in a front-office context.  Prior experience with Epic is also highly desirable.
  • Knowledge of and past experience with CPT-codes and HIPAA guidelines are desirable.
  • Understanding of experience with compliance and regulatory guidelines (HIPAA, OSHA, etc.)
