We are searching for a Practice Manager for the overall administrative and operational management of the Chinese Acupuncture Clinic. This role requires a highly organized, proactive, and compassionate individual who can ensure the smooth and efficient functioning of the clinic, allowing our practitioners to focus on delivering exceptional patient care. The Practice Manager will oversee daily operations, staff supervision, financial management, patient relations, and facility maintenance, all while upholding the clinic's values and promoting a positive work environment.
Key Responsibilities:
- Operational Management:
- Oversee daily clinic operations, ensuring efficient patient flow and scheduling.
- Manage and optimize appointment booking systems and electronic health records (EHR).
- Ensure compliance with all relevant healthcare regulations, privacy laws (e.g., HIPAA), and professional standards.
- Develop and implement clinic policies and procedures to improve efficiency and patient satisfaction.
- Ensure the clinic environment is clean, organized, and welcoming.
- Staff Supervision and HR:
- Recruit, onboard, train, and supervise administrative and support staff.
- Conduct performance reviews and provide ongoing feedback and professional development opportunities.
- Manage staff schedules, time off requests, and payroll coordination.
- Foster a positive and collaborative team environment.
- Address staff concerns and resolve conflicts professionally.
- Financial Management:
- Oversee billing and coding processes, ensuring accuracy and timely submission of claims (insurance and self-pay).
- Manage accounts receivable and payable.
- Monitor clinic revenue and expenses, preparing financial reports for the owner/practitioner.
- Assist in budget development and adherence.
- Patient Relations:
- Ensure exceptional patient service and a positive patient experience from initial contact through treatment.
- Address patient feedback, concerns, and complaints with empathy and professionalism.
- Manage patient communication, including appointment reminders and follow-ups.
- Oversee patient intake processes and maintenance of accurate patient records.
- Marketing and Growth (as applicable):
- Assist in developing and implementing marketing strategies to attract new patients.
- Manage clinic's online presence (website, social media) and patient communication platforms.
- Facility Management:
- Oversee maintenance and upkeep of the clinic premises and equipment.
- Coordinate with vendors for repairs, cleaning, and other services.
Qualifications:
- Education: Bachelor's degree in healthcare administration, business management, or a related are a plus.
- Experience: Minimum of 3-5 years of experience in practice management or a supervisory role within a healthcare setting, preferably in a small to medium-sized clinic. Experience in an acupuncture, chiropractic, or natural health clinic is highly desirable.
- Skills:
- Proven leadership and team management abilities.
- Excellent organizational and multitasking skills.
- Proficiency with Electronic Health Records (EHR) systems is a plus
- Exceptional written and verbal communication skills.
- Strong problem-solving and decision-making capabilities.
- Proficiency in MacOS X and Microsoft Suite(Word, Excel).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A genuine interest in and appreciation for Chinese medicine and holistic health is a significant advantage.
