Position Summary: RM Metal Roofing Supply, LLC is seeking an Experienced, Bilingual Office Manager (English + Spanish REQUIRED) to lead our office team and co-develop the systems and processes necessary for our expansion. Monday - Friday 7:00am -4:00pm. This role requires a candidate with experience in construction Preferred, accounting practices specific to the construction industry, and bilingual capabilities Required.

Key Responsibilities:

● Oversee daily office operations and provide administrative support to the CEO and Management.

● Lead the integration of new CRM software with QuickBooks to streamline financial management.

● Collaborate with management to design and implement effective systems, documents, and processes.

● Ensure the adoption and adherence to new procedures that enhance efficiency and profitability.

● Manage client relations and serve as a point of contact for contractors and commercial clients.

● Supervise, train, and mentor office staff to foster a collaborative and productive work environment.

● Handle construction project accounting, including invoicing, budget tracking, and financial reporting.

● Facilitate communication across departments to ensure seamless operation and customer satisfaction.

Specific Duties, Functions, and Responsibilities:

● Supervise, schedule, and train staff for adequate office coverage.

○ Supervise all administrative staff.

○ Handle administrative duties.

○ Ensure administrative personnel are trained in skills necessary to meet expectations.

● Prioritize customer needs regarding office experiences, whether in person or by phone, email, or some other method.

○ Train staff to prioritize customer service.

○ Ensure all office personnel answer phones and other correspondence professionally and efficiently.

○ Return correspondence within a specified number of business hours.

● Manage the office, including supplies and upkeep.

○ Assume responsibility for all office equipment in working order.

○ Maintain the stock of office and common area supplies.

○ Manage cleaning service.

○ Responsible for ensuring office closing procedures are followed.

Office Manager Specifics:

● Ensure voicemail, email, and website notifications regarding office hours, holidays, and other relevant information are up to date.

● Serve as company personnel needed.

○ Prepare bid documents, sales packets, and other customer-facing materials.

○ Arrange travel, meetings, and other events as need arise.

○ Register company personnel for training as requested.

Qualifications:

● Proven experience in an office management role.

● Multi-tasker

● Fluency in English AND Spanish is REQUIRED.

● Comfortable with technology and quick to adapt to new software.

● Strong leadership skills with the ability to take initiative and drive process improvements.

● Excellent organizational, communication, and interpersonal skills.
