Job Description

The Executive Assistant to the President of the company provides high-level administrative support. This individual will routinely manage core business schedules, travel engagements, communications, and other tasks to ensure smooth operations. The EA will act as a point of contact for the President, taking first level responsibility for day to day and special projects, handle confidential information, and contribute to strategic projects. Strong communication, proactive and strategic thinking, organizational, and problem-solving skills are crucial for success in this role.

Requirements:

  • Previous job experience as an administrative, personal or executive assistant (2 yrs min)
  • Valid driver's license
  • Working Vehicle and Insurance
  • Ability to travel
  • Highly proficient in MS Office. An extremely high understanding of Excel and Word is required.
  • Bi-Lingual in English and Spanish is preferred but not required

Executive Assistant Job Responsibilities - not all duties are listed:

  • Calendar Management: Manages president’s calendar, including scheduling internal and external meetings
  • Excellent Office 365 Skills: Word, Excel, SharePoint, PowerPoint, Teams, and CoPilot
  • Communication Management: Prioritizing and filtering communications, screening calls, emails, and other messages to ensure the executive focuses on important matters. Composing emails, memos, and other documents on behalf of the executive.
  • Facilitating Internal Communication: Ensuring clear and concise communication between the executive and other team members.
  • Taking Meeting Minutes: Recording and distributing meeting notes.
  • Excellent Verbal and Written Communication: Must be able listen objectively and critically in meetings and disseminate information post meeting.
  • Project Research: Must be able to take concepts and research information
  • Direct Communication: Must speak in a direct manner
  • Phone Management: Answers phone calls and takes detailed messages

 

External Communication

  • Representing the Executive: Speaking and writing on behalf of the executive, ensuring consistent and professional communication.
  • Acting as a Liaison: Connecting the executive with relevant external contacts.

 

General Skills

  • Adaptability: Be able to adjust communication style to different situations and individuals
  • General Purchasing: Purchases office supplies,
  • Confidentiality: Makes sure confidential information stays private.

 

Work Hours & Benefits: The EA position is on of fluid expectations during the week and may even call for some weekend hours during special projects.
