Skills and Qualifications

Required Qualifications:

  • 3 years of professional experience

  • Excellent language skills:  Bilingual

  • Excellent organizational skills

  • Strong interpersonal and written communication skills

  • Reliable, strong work ethic and able to work independently

  • Able to build strong networks in and outside the organization

  • Experience with a range of computer applications including: electronic, donor-database software, Google, Microsoft Office applications and Adobe applications. 

  • Skills in collaboration and teamwork

  • The ability to be flexible and adaptable

  • Entrepreneurial with a self-led attitude

  • Successful completion of CBI and FBI background check.

  • Open to working in a Catholic Environment and respecting the Catholic faith

 

Preferred Qualifications:

  • Highly proficient level computer skills including Adobe Suite, MS Word, Excel, and PowerPoint.

  • Willing to learn new computer programs or applications used internally and externally.  

  • Expert knowledge of general office procedures, protocol and professionalism; expert knowledge of Business English, spelling, punctuation and grammar. 

  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time efficiently and meet deadlines. 

  • Proven ability to work in a team environment, develop effective interpersonal relationships, provide superior customer service, and communicate verbally and in writing. 

  • Competent data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis

 

 

Job Description 

Working at Escuela de Guadalupe includes many different responsibilities to make a small, financially accessible school run effectively.  As a close-knit community, we all pitch in to make this a great place to work and learn.  Therefore, this description is not intended to be all- inclusive. Specific areas of responsibilities include but are not limited to the following:

Responsibilities

This position includes working as an executive assistant and will directly report to the President.  Another important part of this position is providing support to the Director of Philanthropy and the Philanthropy team.  For this reason, there is a cross reporting structure to the Director of Philanthropy. 

 

Executive Assistant to the President

Support the President on daily tasks and projects, to allow for the mission of the school to move forward.

  • Work with the President and support the Philanthropy Team. Manage the scheduling, set-up and any preparation for visits, meetings and regular calendar appointments

  • Track and manage President credit card receipts and code accordingly

  • Order office supplies as needed, including snacks/coffee for team lounge, meals/pastries for meetings, keep water stocked for visitors

  • Work with President to manage Board meetings and committee meetings: send calendar invites, create and email materials, set-up and tear-down of meetings

 

Office Support

Provide support for the Philanthropy Office.

 

Philanthropy Support

  • Manage the donor database including contact information, background information, updates and financial gifts

  • Print and mail weekly acknowledgements

  • Assist with annual events and Escuela 101s
