Job Title: Events Coordinator (Leadership Development)
Reports To: Leadership Development Events Manager
Group: Leadership Development
Compensation Range: $31 to $36 per hour
Status: Full-Time, Non-Exempt

The Role:

The Events Coordinator is responsible for the coordination of operational, logistical, and administrative support for the Leadership Development Group, which delivers high-quality training programs, events, and resources for Association Executives (AEs) and local REALTOR® leaders. This is a detail-heavy role that requires strong follow-through, the ability to manage multiple moving parts, and a collaborative approach to team support and process improvement. This role includes coordinating logistics for events and meetings; managing communication timelines and planning grids; overseeing attendee outreach and reimbursements; and maintaining accurate project files and timelines. The position also plays a vital role in maintaining team operations through administrative scheduling, internal documentation, and cross-team collaboration.

 

Key Responsibilities:

  • Project Coordination & Task Management:
    • Take ownership of project tracking grids and timelines across key initiatives.
    • Oversee internal deliverables and work with teammates to ensure deadlines are met.
    • Serve as a liaison to keep stakeholders informed and aligned.
    • Flag potential issues or bottlenecks and contribute to team-based problem solving.
  • Team Operations & Administrative Support:
    • Coordinate meetings, manage calendars, format documents, and handle internal communications.
    • Record meeting notes and follow up on action items to ensure timelines are met.
    • Manage internal organizational systems such as shared drives, project folders, and templates. Partake in onboarding new staff, ensuring access to materials and systems.
    • Track expenses, coordinate supply orders, and provide light financial recordkeeping.
  • Event Support & Logistics:
    • Coordinate event logistics for virtual and in-person events, including registration tracking, rooming list coordination, and materials prep.
    • Order and manage event supplies, signage, and printed materials.
    • Coordinate travel arrangements and reimbursement processing for speakers and attendees.
    • Collaborate with the Event Manager and Project Manager in executing event timelines and checklists
  • Communications & Association Executive Support:
    • Handle communications such as event reminders, logistical updates, and follow-up messages.
    • Serve as primary point of contact for inquiries from AEs, attendees, and speakers in a timely, professional manner.
    • Assemble and distribute event materials, post-event resources, and recap communications.
    • Maintain accurate contact records and distribution lists.
  • Process Improvement & Cross-Team Collaboration:
    • Champion process improvements by identifying recurring issues or inefficiencies.
    • Collect and track program data such as attendance and event feedback.
    • Partner with other departments to gather assets or coordinate timelines for joint initiatives.
    • Foster a collaborative team culture and bring forward ideas that support department goals.

Minimum Qualifications:

  • Bachelor’s degree or the equivalent.
  • 2 to 3 years of office experience.
  • Must type 60 WPM accurately.
  • Experience in gathering information from vendors and service providers, comparing alternatives, and applying that information.

Additional Skills:

  • A demonstrated ability to work with many different people and projects simultaneously, and sometimes independently.
  • Superb telephone skills.
  • Ability to function effectively in a variety of challenging situations and circumstances and be flexible in light of shifting priorities.
  • Exercise sound judgement, and an ability to handle sensitive or confidential information appropriately.
  • Proficient with business software applications, including MS Word, PowerPoint, and Excel, and with MS Outlook.
  • Ability to learn new software applications, such as the Association’s membership database program and its Web content management system.

Travel:

  • The Events Coordinator will travel to business meetings potentially three times per year, Leadership EDGE, and the AE Sounding Board.
