ORGANIZATIONAL BACKGROUND

The Boys & Girls Clubs of Greater Redlands-Riverside has been proudly serving children and families since 1967. We are one of the premier non-profits in the Inland Empire and looking for an incredible Human Resources Leader to join our dynamic team. We are a highly driven and mission-focused organization in need of an energetic, people-focused, organized, and committed professional to fill the critical role of Director of Human Resources. The Club’s impact extends throughout several sites across the Inland Empire, Redlands, and areas of the High Desert.

PRIMARY FUNCTION:

The membership coordinator will oversee all aspects of registration, renewal and database management of clubhouse members. This role serves an important public relations function in the community, and customer service function in the club by meeting and greeting all who enter or call the Club. You will provide information about the club, programs, parent portal and transportation. This role is essential for ensuring a positive experience for current and prospective members, supporting membership growth, and maintaining accurate records. The ideal candidate will have strong organizational skills, a passion for youth development, and a commitment to community engagement.

ESSENTIAL JOB RESPONSIBILITIES:

Membership and Data Management

  • Oversee the enrollment, renewal, and retention processes for members.
  • Utilize Salesforce to maintain accurate and up-to-date membership records, track interactions, and manage member data efficiently.
  • Maintain accurate and up-to-date information on all current members and ensure this information is properly recorded and stored Salesforce. Monitor and manage club’s wait list for transportation and ADA.
  • Ensure that all members entering the building are signing in and that attendance information is properly captured in Salesforce.
  • Use Salesforce to manage the entire lifecycle of membership processes, including enrollment, renewals, and terminations. Ensure all membership records are accurate, up-to-date, and securely stored.
  • Provide accurate and up-to-date program, activity and event information for all persons inquiring at the front desk, via email, and over the telephone.
  • Maintain daily records of new member sign-ups and renewals and ensure that fees are properly recorded and deposited. Ensure all members have clubhouse membership card.
  • Administer and manage the Camp program registration and financial aid applications.
  • Notify members and families when membership is due to expire and perform appropriate outreach to ensure renewal.
  • Monitor and manage membership outstanding balances
  • Post transactions in Salesforce Generate Salesforce reports for all member services.
  • Analyze reports to assess membership trends, program effectiveness, and operational performance.
  • Liaison for outside entities that provide financial support for camp, membership, and transportation
  • Effectively implement and administer, services and activities for drop-in members and visitors.

Marketing and Communication

  • Collaborate with the Marketing team to promote membership benefits, events, and programs. Utilize Salesforce to segment audiences, track engagement, and analyze the impact of marketing efforts.
  • Utilize Salesforce to provide notifications and communication to member families

Program Support

  • Support the implementation of programs and activities designed to engage and support members. Coordinate with program staff to ensure alignment with membership goals and track program participation using Salesforce.


Feedback and Improvement

  • Collect and analyze feedback from members and their families to identify areas for improvement.
  • Create a bridge between members, families, and club staff

Administrative Duties

  • Handle administrative tasks related to membership management, including processing applications, managing membership fees, and maintaining accurate records in Salesforce.
  • Ensure thorough completion of documentation for county and local childcare agencies.
  • Membership drives/campaigns
  • Develop and implement strategies to attract new members and engage current members.
  • Utilize SMS messaging and communication tools in Salesforce to ensure timely and complete communication with parents

Customer Service

  • Act as the primary point of contact for members and their families. Utilize Salesforce to log member interactions, track inquiries, and address issues effectively to ensure a high level of customer satisfaction.


Supervision

  • Assist in the monitoring of traffic in the lobby area and prevent loitering of club members.
  • Assist in the supervision and discipline of members in the lobby area and throughout the clubhouse as deemed appropriate.

ADDITIONAL RESPONSIBILITIES:

  • May participate in special programs and/or events.
  • Other duties as assigned

RELATIONSHIPS:

Internal: Maintains daily contact with BGCGRR supervisors and staff, and students enrolled in the afterschool program to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.

External: Maintains contact with external community groups, schools, students’ parents and others to assist in resolving problems.

SKILLS/KNOWLEDGE REQUIRED:

  • High school diploma or equivalent required. Associate’s degree or some college coursework in Business Administration, Communications, Social Services, or a related field is preferred. Relevant experience may be considered in lieu of a degree.
  • Strong organizational and time-management skills.
  • Excellent interpersonal and communication abilities.
  • Proficiency in Salesforce, including experience with data entry, report generation, and CRM management.
  • Ability to handle multiple tasks and prioritize effectively.
  • Experience with Microsoft Office Suite and other administrative tools.
  • Ability to interact professionally and responsibility with all staff, students, parents and school & housing site employees.
  • Experience working with students.
  • Ability to manage behavior problems of students.
  • Ability to organize and supervise students in a safe environment.
  • Ability to work independently and as a member of a team.
  • Mandatory CPR and First Aid Certifications (within first 3 months of employment; courses provided by employer).

PHYSICAL AND MENTAL REQUIREMENTS:

  • Mobility: Ability to move between multiple locations, walk, stand, and occasionally climb stairs.
  • Manual Dexterity: Proficient use of a computer keyboard and office equipment.
  • Visual Acuity: Ability to read and analyze documents.
  • Hearing: Adequate hearing for communication in person and over the phone.
  • Lifting: Occasional lifting.
  • Attention to Detail: Ensure strict adherence to grant requirements.
  • Communication: Strong verbal and written skills for grant applications and reporting.
  • Stress Management: Handle high-pressure situations calmly.
