Job Summary
A Customer Service & Order Entry Specialist is highly organized, detail-oriented, and thrives in a fast-paced, multitasking environment. This role is responsible for accurate order entry, expediting orders, processing return merchandise authorizations (RMAs), and providing top-tier customer support via phone, email, and live chat. You will play a crucial role in ensuring customer satisfaction by addressing inquiries, resolving issues, and providing exceptional service. Product knowledge is required. Your strong communication skills, problem-solving abilities, and commitment to delivering a positive customer experience will contribute to the success of our customer service operations. The ideal candidate will work closely with our Project Manager and Production Manager to ensure customer needs are met with efficiency and precision.

· Serve as a primary point of contact for customers regarding:
- Order status and confirmations
- Lead times and estimated delivery dates
- Shipping details and tracking
- Product inquiries and general support
· Accurately and efficiently enter customer orders into the ERP system.
· Expedite urgent or time-sensitive orders by coordinating with the production and shipping departments.
· Process RMAs with attention to accuracy and proper documentation.
· Provide courteous, timely, and professional service that meets or exceeds customer expectations.
· Communicate clearly and effectively over the phone, through email, and via live chat.
· Handle a high volume of incoming and outgoing calls for order placement, inquiries, and follow-ups.
· Collaborate with the Project Manager and Production Manager to address and resolve issues that impact order fulfillment and customer satisfaction.
· Maintain organized records and ensure compliance with company policies and procedures.
· Assist Sales Representatives in their territory management as needed.
· Comply with all Company policies
· Performs other duties and responsibilities as requested or assigned
Experience/Training/Education
· High school diploma or equivalent.
· 2+ years of experience in a customer service, order entry, or related administrative support role (manufacturing industry experience preferred).
· Proven experience working in a fast-paced customer-facing role.
· Strong data entry skills with high attention to detail and accuracy.
· Ability to type 50–70+ words per minute efficiently in a live chat environment.
· Excellent communication skills, both verbal and written.
· Strong problem-solving skills and the ability to prioritize tasks.
· Proficient in Microsoft Office (Word, Excel, Outlook); experience with ERP systems such as Oracle, NetSuite, or IQMS preferred.
· Comfortable multitasking and switching between multiple platforms and customer interactions.
Knowledge/Skills/Abilities
· Exceptional customer service, communication, and presentation skills, with patience and self-control, active listening, positive attitude, and accountability
- Fluidly communicate to build loyalty and relationships with customer base, primarily through telephone communication
- Flexible in approach to working with different customers and Sales Department personalities, and able to address delicate situations in a professional manner
· Ability to work in a fast-paced environment and comfortable with managing and prioritizing multiple tasks
- Enjoys creating solutions with various approaches
- Machinery or instrumentation manufacturing industry-related experience is a plus
- Excellent word processing, Excel, and 10-key PC skills; networking a plus
- Ability to organize and maintain detailed quality records/documentation
· Excellent communication and problem-solving skills
· Able to draw on diplomatic communication skills
- Requires minimal supervision
Special Requirements
May be required to work weekends as business necessitates; schedules will be determined by the department supervisor/management with at least 48 hours in advance notice.
