HCH Enterprises, LLC is seeking an Administrative Assistant. This is a part-time position with HCH Enterprises, LLC and a contract position.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Serve as the primary contact person responsible for customer service to internal and external partners. The Administrative Assistant is responsible for coordinating information on a timely basis and in a professional manner.

  • Receive and place phone calls, send and receive e-mail, set up meetings and make appointments, and take minutes when requested.
  • Schedule appointments and maintain the office calendar.
  • Take messages in the absence of other staff, directing callers to other staff members, or answer questions personally, prepare visitor access requests, receive and assist visitors, answer questions, or direct them to a staff member who can assist them, schedule meetings for the department, and ensure that attendees are briefed or provided proper background material for meetings; and, participate in arranging for conference/meeting room space as required by the size of the group and maintaining conference/meeting room schedules, in coordination with other administrative staff.
  • Maintain and update handbooks, operating procedures, and other documents, such as stakeholder contact information, telephone listings, personnel rosters, and leave, travel, and training schedules.
  • Use computer and web-based word processing, spreadsheets, and software applications in the performance of a variety of assignments, create electronic trackers, develop charts, and prepare other documents in draft and final form, proofread for format and consistency with standard formatting requirements prior to submitting for approval.
  • Provide assistance with receiving and screening mail, drafting responses to routine correspondence and letters, distributing incoming official mail to department personnel (including attaching pertinent background material), and searching files and records to assemble background information for correspondence and other pending actions.
  • Review outgoing mail for proper addresses, routing, attachments, etc., and review correspondence for accuracy and conformance with department formatting procedures and special instructions.
  • Perform the full array of activities to plan and implement travel arrangements for department employees including, but not limited to, establishing accounts, estimating costs, making reservations, creating travel authorizations, and reviewing vouchers prior to approval. The Administrative Assistant shall coordinate the travel schedules of department personnel.
  • Perform procurement functions, including assisting the department staff in drafting acquisition and assistance documents, assisting with uploading procurement documents into the procurement system, drafting requisitions for office supplies and other equipment required by the office, ordering, receiving, and tracking approved supplies and equipment.
  • Support the department hotline operations by logging and responding to routine hotline complaints in accordance with the department policy.

POSITION REQUIREMENTS

A high school diploma or equivalent is required.

Two (2) or more years of post-secondary education is preferred.

A minimum of five (5) years of administrative or secretarial work experience is required. It is

preferred that two (2) of the five (5) years of experience be in related work with a U.S.

Government Agency.

The following skills are required:

b. Ability to work independently.

c. Exceptional interpersonal skills.

d. Skill in writing and editing documents.

e. Strong organizational, project management, and problem-solving skills with the ability to

multi-task.

f. Attention to detail.


PREFERRED

a. Program support experience in the areas of calendar and schedule management,

reporting and communications management, information management, office

management, and travel expertise.

b. Contract support experience.


Projected start date TBD. This is a part-time position (minimum of 16-24 hours per week) located ON-SITE in Washington, DC. Hourly compensation $46-$50 per hour.
