Pay: $28/hour + $200 monthly AR performance bonus


Position Summary:

Shavitz Heating & Air Conditioning is looking for a highly detail-oriented, driven, and adaptable Human Resources & Accounts Receivable Specialist to support both employee operations and financial systems. This unique dual-role position offers the opportunity to own and refine key HR processes while also managing and maintaining the AR workflow with precision.

This role is best suited for a candidate who can switch hats throughout the day, juggling employee support and administrative compliance while ensuring accurate and timely billing operations.


Key Responsibilities:Human Resources (HR):

Recruitment & Onboarding

  • Create and post job openings, screen candidates, conduct phone interviews

  • Coordinate in-person interviews with managers

  • Manage new hire paperwork and background checks

  • Set up employee access to systems (ADP, ServiceTitan, Google, etc.)

  • Conduct onboarding sessions and ensure seamless Day 1 experience

HR Compliance & Administration

  • Maintain and update employee records and digital files

  • Ensure all employee documentation is compliant with federal and state laws

  • Distribute annual training (anti-harassment, safety, etc.)

  • Maintain birthday/anniversary calendars and employee spreadsheets

Performance & Time Off Tracking

  • Coordinate annual review process and prepare review packets

  • Track time off (PTO, sick time, unpaid leave) and apply in ADP

  • Monitor tardiness, call-outs, and attendance issues

  • Enforce written and verbal disciplinary actions when necessary

Payroll Support

  • Audit timecards weekly and communicate discrepancies

  • Process commissions, bonuses, PTO, training hours, etc.

  • Support final payroll submissions and reporting deadlines

  • Maintain payroll tracking systems and 401k reporting

Termination & Offboarding

  • Collect company equipment

  • Remove system access and update internal documents

  • Notify vendors and handle COBRA-related steps

  • Document resignation or termination in employee files

HR Operations & Communication

  • Draft internal memos and policy updates

  • Maintain tool and bonus trackers, forms, and digital HR library

  • Handle sensitive matters with discretion and professionalism


Accounts Receivable (AR):

Billing & Invoicing

  • Generate weekly AR reports and monitor outstanding balances

  • Create, batch, and email invoices for multiple departments (Install, Service, Sales)

  • Review and correct billing discrepancies

Payment Processing & Collections

  • Record payments and reconcile balances in ServiceTitan and QuickBooks

  • Contact customers with overdue balances and manage follow-ups

  • Process credit card payments and handle unapplied/duplicate payment issues

  • Apply credits and manage refunds when appropriate

  • Fully handles the Collections process

KPI Tracking & AR Bonus Management

  • Maintain spreadsheets to track bonus eligibility based on AR performance

  • Work with department leads to maintain accuracy in reporting

Financial Communication

  • Provide COIs, W9s, and related documentation as needed

  • Communicate with customers regarding invoice issues or payment plans

  • Coordinate with office team for invoice approvals and adjustments


Qualifications:
  • 3–5 years in a hybrid HR/AR, office management, or payroll-related role

  • Experience with ADP, QuickBooks, Google Workspace, and ServiceTitan is a plus

  • Strong knowledge of Illinois labor law and basic accounting principles

  • Exceptional organizational skills and attention to detail

  • Strong verbal and written communication skills

  • Ability to handle confidential information with professionalism


Compensation & Benefits:
  • Hourly Rate: $28/hour

  • Monthly Bonus: $200 for meeting AR performance targets
