We are seeking a meticulous and detail-oriented Construction Bookkeeper to join our team. This role is crucial for maintaining accurate financial records and supporting our construction projects' financial health.

Job Description:
As a Construction Bookkeeper, you will manage the financial transactions related to our construction projects. This includes tracking expenses, managing invoices, and ensuring compliance with industry regulations. Your expertise will help us maintain financial accuracy and provide valuable insights into our project budgets. You will also be responsible for managing day-to-day office operations, coordinating project activities, and providing administrative support to our construction teams. Your strong organizational skills and attention to detail will help ensure the successful execution of our projects.

Key Responsibilities:

  • Accounts Payable and Receivable: Manage all accounts payable processes. For example, you will administer purchase orders and ensure that all invoices from subcontractors & suppliers are processed promptly and reconcile them against project budgets.
  • Project Cost Tracking: Monitor and report on project costs, ensuring they align with budget forecasts. For instance, you will regularly compare actual expenses against estimated costs and report discrepancies to project managers and CFO.
  • Financial Reporting: Assist CFO in the preparation of monthly financial statements and reports specific to construction projects. This includes profit and loss statements, balance sheets, and cash flow reports to provide insights into financial performance.
  • Payroll Processing: Handle payroll for construction staff, ensuring accurate calculation of hours worked, overtime, and deductions. You will also ensure compliance with labor laws and regulations.
  • Tax Compliance: Assist in preparing and filing necessary tax documents, including sales tax and payroll taxes. You will ensure that all financial practices comply with local, state, and federal regulations.
  • Collaboration: Work closely with project managers and the CFO to provide financial insights and support project decisions. This includes attending project meetings to provide updates on budget status.
  • Office Administration: Oversee all administrative functions, including managing office supplies, equipment, and facilities. For example, you will ensure that necessary materials are stocked, and that office equipment is well-maintained.
  • Project Coordination: Assist project managers when needed in coordinating project schedules, meetings, and documentation.
  • Communication Management: Serve as a main point of contact for internal and external communications. This includes managing phone calls, emails, and correspondence related to ongoing projects.
  • Documentation and Record Keeping: Maintain accurate records of project documents, contracts, and legal paperwork. For instance, you will ensure that all contracts are filed correctly and accessible for review by project managers and CFO. Maintain licenses, permits and safety certifications.
  • Team Support: Provide administrative support to project teams, including onboarding & offboarding of employees and coordinating training sessions. You will also be responsible for ensuring that all team members have the resources they need to perform their jobs effectively.

 

Qualifications:

  • Experience: Minimum of 3 years of bookkeeping experience, with at least 1 year in the construction industry preferred.
  • Education: Associate’s degree in Accounting, Finance, or related field. A certification in bookkeeping is a plus.
  • Technical Skills: Proficiency in accounting ERP software, Microsoft Excel & Word. Familiarity with construction management software is an advantage.
  • Attention to Detail: Strong organizational skills and a keen eye for detail to ensure accuracy in financial records. Exceptional multitasking abilities.
  • Communication Skills: Excellent verbal and written communication skills to effectively interact with team members and clients.

Pay: $25-$30 per hour depending on experience.
