$25.00-$27.00/hr
At American Power Systems (APS), we power mission-critical infrastructure—literally. We’re looking for a Sales Coordinator to be the operational backbone of our sales team.
Essential Duties:
Sales & Quote Process Coordination – 35%
- Track quotes and proposals in QuickBase; ensure quote records are complete and current.
- Assist sales personnel in confirming accurate pricing for quotes using internal pricing files and approved resources.
- Monitor quote status and escalate as needed per company requirements.
- Assist Customer Service by following up internally if required backup documentation (e.g., PO, signed quote, credit approval) is missing from the QuickBase record after an order is received.
Documentation & System Accuracy – 20%
- Review and support up-to-date customer, quote, and order records in QuickBase
- Run and distribute sales reports (e.g., quote status, backlog, conversion activity) as needed for internal use and vendor communications.
Administrative Sales Support – 20%
- Support sales personnel with administrative tasks such as preparing quote documentation and updating quote files and status.
- Monitor internal communication channels for quote-related tasks.
- Track and assist with credit approvals, past-due account flags, new customer setup, and credit card payment entries.
- Maintain organized access to pricing reference materials, line cards, and other sales resources.
Internal Coordination & Delivery Status – 15%
- ·Act as the primary point of contact for sales personnel with delivery date or material availability questions.
- Investigate delivery timing by reviewing QuickBase and coordinating with Customer Service as needed.
- Support internal communication between sales, service, and operations to support smooth job handoffs and customer order processing.
Sales Marketing Support - 5%
- Coordinate the development, shipping, and deployment of trade show materials to APS offices and events.
- Maintain the trade show calendar and help schedule show staffing.
- Assist in the preparation or update of marketing materials such as line cards, pitch decks, display banners, and website content as needed.
Other Duties - 5%
- Perform other duties as required.
- Keep current on company platforms, training, expenses, and calendars.
Relevant Work Experience:
Sales Support or Coordination Experience
- Prior experience supporting a sales team with tracking quotes, processing proposals, and managing customer communications.
- Familiarity with tools such as Salesforce, QuickBase, or similar CRMs to manage pipelines and customer activity.
Customer Service or Account Management
- Hands-on experience interacting with customers, responding to inquiries, providing updates on order status, and coordinating delivery timelines.
- Experience ensuring customer satisfaction through timely follow-up and clear communication.
Cross-Functional Collaboration
- History of working closely with internal departments (sales, service, operations, supply chain) to ensure smooth project execution and order fulfillment.
- Proven ability to coordinate logistics and service scheduling, especially for complex or high-value clients such as those in telecom, utilities, or data centers.
Administrative and Operational Support
- ·Experience managing documentation, handling purchase orders, scheduling appointments, and monitoring shared inboxes or internal communication systems.
- ·Exposure to pre-sales and post-sales workflows, supporting quote creation and customer onboarding.
CRM and Reporting Proficiency
- Previous roles where maintaining accurate CRM records, generating pipeline or backlog reports, and tracking sales activity were key functions.
- Strong attention to detail with a track record of keeping data clean, up-to-date, and actionable.
Event and Pricing File Support
- Experience supporting trade show logistics or maintaining pricing documentation is a plus.
