JOB SUMMARY
Under general supervision, the Administrative Assistant/Dispatcher will report directly to the President
and perform administrative duties for the company as well as effectively respond to and coordinate
customer calls for service.
ESSENTIAL DUTIES - A successful Administrative Assistant/Dispatcher must spend over 50% of work
time on, and satisfactorily perform, these general categories of duties, which require significant
discretion and independent judgment 1 . Responsibilities include, but are not limited to:

  • Proactively gain and maintain a full understanding of services.
  • Effectively summarize and relay information to both customers and plumbing technicians.
  • Draw up service requests in a timely manner.
  • Input service orders for tracking, schedule service orders into calendar, and subsequently
  • transfer service orders into the company app for billing.
  • Prepare proposals and coordinate service delivery to clients.
  • Must have the ability to analyze data from previous appointments and plumbing technicians
  • performance and technical ability, and apply this to new appointments, ensuring the
  • appropriate plumbing technician is sent.
  • Must effectively handle multiple tasks at the same time, while being consistently interrupted by
  • phone calls, emails, and other competing priorities.
  • Understand and communicate expectations, following and firmly executing processes even if
  • challenged by a plumbing technician.

OTHER DUTIES - A successful Administrative Assistant/Dispatcher may spend up to 49% of work time on, and satisfactorily perform, these general categories of duties:

  • Coordinate and answer emails.
  • Supports service technicians by advising them of work to be performed inclusive of paperwork due for customer invoicing and company record keeping.
  • Closely monitor and identify incorrect work-orders, correcting mistakes and resolving with managers as necessary.
  • Manage on-call schedule and notify plumbing technicians of their assigned weeks.
  • Notify answering service of the schedule and numbers to call in case of emergency.
  • Originate, recommend, plan, and execute administrative procedures designed to improve efficiency, communications, interpersonal relations, and workflow within the company.
  •  Perform any and all other duties, as assigned by supervisor.

QUALIFICATIONS

  • Must type a minimum of 55 w.p.m.
  • Strong customer service skills and ability to interact with employees, management,
  • customers, and the general public.
  • High-paced environment, self-motivated and ability to multi-task (work on multiple
  • projects at the same time)
  • Experienced in Microsoft applications (Word, Excel, PowerPoint, etc.)
  • Requires a high school diploma.
  • Previous dispatching/customer service experience preferred.
  • Experience and utilizing judgment in order to plan and accomplish goals.
  • Follow up and follow through with plumbing technicians and customers to help
  • maintain good customer relationships.
