Job Summary
The Dog Medical Coordinator plays a critical role in ensuring the health and well-being of dogs under the care of the animal rescue group. This remote position involves managing medical needs, coordinating veterinary care, and maintaining clear communication with stakeholders. The ideal candidate will be organized, compassionate, and experienced in veterinary care or animal rescue operations.
Responsibilities:
- Provide medical support for dogs in SCR’s care, including, but not limited to: new intakes, foster homes, facilities, and vet boarding.
- Address questions or concerns regarding dog health and suggest management solutions.
- Coordinate and schedule veterinary visits as needed.
- Follow up with point persons for updates within 24–48 hours of medical issues.
- Track and schedule annual wellness visits, vaccinations, heartworm tests/treatments, microchips, fecal exams, bloodwork, and diagnostics.
- Maintain accurate records of medical appointments in spreadsheets and update Facebook threads with medical information.
- Order medication refills and necessary supplies.
- Submit transport requests and ensure clarity around logistics.
- Schedule appointments with veterinarians or specialists as required.
- Review medical paperwork to synthesize significant information.
Create and update medical checklists for each dog’s Facebook thread, highlighting pending follow-up care. - Communicate directly between medical providers and SCR stakeholders.
- Provide timely updates on ongoing medical cases and emergencies.
- Serve as a late-night emergency contact when necessary.
- Collaborate across teams to communicate medical needs pre- and post-adoption.
- Cover medical phone line inquiries.
Job Qualifications
Required:
- Minimum of 3 years of hands-on experience in veterinary care or animal rescue operations (e.g., veterinary assistant or coordinator roles).
- Strong knowledge of canine health, diagnosis, treatment protocols, and preventive care.
- Proficiency in tools like spreadsheets, databases, online collaboration platforms (e.g., Google Drive), and social media systems for documentation purposes.
- Exceptional organizational skills with attention to detail in tracking medical records and deadlines.
- Excellent communication skills to liaise between veterinarians, stakeholders, and internal teams effectively.
- Ability to handle emergency situations calmly and efficiently.
- Must be on Eastern Standard Time.
Preferred:
- RVT (Registered Veterinary Technician) license or other relevant certifications in animal care.
- Experience working remotely in a virtual coordination role within an animal rescue group or similar organization.
- Familiarity with transport logistics for animals requiring veterinary care.
