Position Summary

The Spa Manager is responsible for overseeing the daily operations of the spa department at Cal-a-Vie Health Spa and Resort, to ensure seamless and luxurious guest experience. Working under the guidance of the Spa Director, this role supports the implementation of strategic goals, manages staff performance, ensures high service standards, and drives revenue through effective operations and guest engagement. The Spa Manager plays a key role in maintaining a welcoming, well-organized, and compliant spa environment while mentoring team members and supporting the overall vision of the spa.                                                             

Essential Functions

• Oversee administrative duties in conjunction with the Spa Director including but not limited to assisting with the management of all supplies and inventory, placing, and receiving product orders, tracking sales, using Resort Suites/RR for entering sales, inventory, etc.
• Develop and manage staff schedules to ensure optimal coverage, communicate schedule changes to all team members in a timely manner.
• Monitor attendance, approved time-off request, and adjust schedules as needed to maintain smooth operations.
• Ensure compliance with labor laws, break requirements, and overtime policies.
• Assists the Spa Director with all Spa Operations at sister property, The Havens Country Club
• Perform opening and closing procedures in accordance with Cal-a-Vie policies
• Creates treatment protocols, training manuals and training schedule alongside the Spa Director
• Educate, train, and guide new hires on treatments and daily operations of the overall flow of the Spa as directed by the Spa Director
• Conducts daily treatment room checklist inspection noting inconsistencies and accuracies working alongside the Spa Director
• Run various reports at the end of the day from Resort Suite/RR for accounting showing the productivity, sales, and upgrade charges for the day
• Ensure a high level of customer satisfaction through excellent customer service and guest engagement.
• Handle guest complaints or feedback professionally and efficiently.
• Participate in quarterly physical inventory preparation and completion as required on the appointed Sunday
• Ensure that all rules and regulations are being followed with the Board of Barbering and Cosmetology and the California Massage Therapy Board
• Provides regular communication of company information, functions, benefits, events, etc. with spa staff on a regular basis
• Alongside Spa Director conducts monthly mandatory staff meetings
• Required to attend networking events to stay current on trends in the Spa industry
• Develop and implement spa related marketing strategies, collateral, and promotional activities in conjunction with the Spa Director and marketing department

Qualifications

Education/Certification:  High school graduate and Resort/Spa Experience.

Knowledge:  Knowledge of all aspects of Spa Industry

Experience:  Minimum three (3) years of management level experience.

Skills/Abilities:  Ability to demonstrate outstanding and superior guidance to co-workers. Ability to communicate effectively and in a motivating manner. Able to assist with any guest concerns or challenges. Ability to assist with daily operations. Displays consistent courtesy, tact, consideration, and discretion in all areas with beauty staff, management, and guests. Intermediate to advanced computer proficiency. Working knowledge of Microsoft suite programs – Word, Excel, and Outlook. Ability to comprehend and successfully/accurately operate point of sale and property management systems.

Availability:   Must be able to work a flexible schedule including nights, weekends, and holidays
