Job Description
As a Front Desk Receptionist, you will be the first point of contact for visitors and tenants in the
office building. Your primary role will be to manage front desk operations, greet guests, answer
phone calls, and provide administrative support to ensure smooth daily operations. Additionally,
you will assist in maintaining office security, coordinating mail and deliveries, and ensuring a
professional and welcoming environment.
Duties and Responsibilities:
1. Front Desk Operations:
Welcome and greet visitors, ensuring a positive and professional experience.
Answer, screen, and direct incoming phone calls.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain a clean, organized, and well-stocked reception area.
2. Administrative Support:
Assist with scheduling appointments, meetings, and conference room bookings.
Maintain records, logs, and databases related to front desk operations.
Order office supplies and maintain inventory as needed.
Assist in organizing office events or meetings.
3. Communication and Correspondence:
Respond promptly to inquiries from tenants, visitors, and vendors.
Manage email and written correspondence efficiently.
Distribute internal memos and announcements as directed.
4. Security and Access Control:
Monitor visitor access and maintain security protocols (logbook, issuing visitor badges).
Ensure that only authorized personnel and guests enter restricted areas.
Report any security concerns or maintenance issues to management.
5. Office Maintenance Coordination:
Coordinate with maintenance and cleaning staff to keep the office building well- maintained.
Report office equipment or facility issues to the appropriate department.
Qualifications and Skills:
High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience in a similar role as a receptionist, administrative assistant, or office assistant.
Excellent verbal and written communication skills.
Proficient in using office software (e.g., MS Office Suite, email clients).
Bilingual in Spanish and English preferred.
Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
Attention to detail and accuracy in work.
Professional and friendly demeanor, with excellent customer service skills.
Ability to handle sensitive and confidential information with integrity.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
