Administrative Assistant Job Duties include:

  • Professionally and courteously answer a multi-line phone system, screen calls, and accurately direct them to the appropriate attorney or staff member.

  • Serve as the first point of contact for clients and visitors, providing a welcoming and helpful experience.

  • Manage incoming and outgoing correspondence, including mail, email, and faxes, ensuring timely distribution and appropriate follow-up.

  • Maintain organized physical and electronic filing systems, ensuring easy retrieval of client information and office documents.

  • Demonstrate proficiency in Microsoft Suite (Word, Excel, Outlook) for drafting documents and handling email communications.

  • Assist with basic administrative tasks such as photocopying, scanning, and preparing documents.

  • Support the team with other administrative duties as needed to ensure the smooth operation of the office.

Administrative Assistant Preferred Skills include:

  • Fluency in both English and Spanish (written and spoken) is required.

  • Proven experience in an administrative assistant role, preferably in a legal or professional office setting.

  • Excellent communication and interpersonal skills with a professional and courteous demeanor.

  • Strong organizational skills and attention to detail with the ability to prioritize tasks effectively.

  • Proficiency in Microsoft Suite (Word, Excel, Outlook) is essential.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Ability to work independently and as part of a team.

  • Reliability and punctuality are crucial.
