Administrative Assistant Job Duties include:
Professionally and courteously answer a multi-line phone system, screen calls, and accurately direct them to the appropriate attorney or staff member.
Serve as the first point of contact for clients and visitors, providing a welcoming and helpful experience.
Manage incoming and outgoing correspondence, including mail, email, and faxes, ensuring timely distribution and appropriate follow-up.
Maintain organized physical and electronic filing systems, ensuring easy retrieval of client information and office documents.
Demonstrate proficiency in Microsoft Suite (Word, Excel, Outlook) for drafting documents and handling email communications.
Assist with basic administrative tasks such as photocopying, scanning, and preparing documents.
Support the team with other administrative duties as needed to ensure the smooth operation of the office.
Administrative Assistant Preferred Skills include:
Fluency in both English and Spanish (written and spoken) is required.
Proven experience in an administrative assistant role, preferably in a legal or professional office setting.
Excellent communication and interpersonal skills with a professional and courteous demeanor.
Strong organizational skills and attention to detail with the ability to prioritize tasks effectively.
Proficiency in Microsoft Suite (Word, Excel, Outlook) is essential.
Ability to maintain confidentiality and handle sensitive information with discretion.
Ability to work independently and as part of a team.
Reliability and punctuality are crucial.
